What Is Statement Descriptor?

The text that appears on a bank or credit card statement to identify a specific transaction.

Statement Descriptor Explained

A statement descriptor is the short text description that identifies a transaction on your bank or credit card statement. When you make a purchase, the merchant's statement descriptor shows up as the transaction name (e.g., 'AMAZON.COM*AB1CD2E3F' or 'UBER *TRIP'). Statement descriptors can be confusing when they differ from the business name you recognize. When converting statements to CSV, these descriptors become the description field, which is used for categorization and reconciliation.

Technical Details

Statement descriptors are set by the merchant through their payment processor and are subject to card network rules. Visa allows up to 25 characters; Mastercard allows up to 22 characters. Descriptors include the merchant name and may contain: city, state, customer service phone number, or transaction identifiers. Dynamic descriptors change per transaction (e.g., 'PAYPAL *MERCHANT NAME'), while static descriptors remain the same for all transactions from that merchant. During CSV conversion, the descriptor text is extracted as-is from the PDF. Common issues include truncated names, abbreviated locations, and asterisk-separated sub-descriptors. Accounting software uses these descriptors to create categorization rules for future auto-matching.

Examples

  • A credit card charge showing as 'SQ *CORNER COFFEE' for a Square-processed transaction
  • A subscription showing as 'SPOTIFY USA' on the monthly statement
  • An unfamiliar descriptor 'TST* JOE'S PIZZA' that is actually the local restaurant's payment processor name
